Immediate, full-time opening for a Client Service Admin at Avanti Wealth Management in Longwood FL, an established and growing Wealth and Tax Advisory firm. We are now accepting applications for a warm, responsible, and customer-focused, individual to join our team. You will be working with a group of collaborative, professional, and dedicated people.

ABOUT THE JOB - KEY RESPONSIBILITIES: 

  • Internal Support and Coordination: Follow up with internal and external people with results / finished work; Assist owner and financial advisors with setting up and preparing for their meetings; Follow up with routine tasks and keep them on track; Look for all open issues - business, and client - related, to find a way to solve or 'close' open issues; Ability to prioritize multiple tasks and ask for assistance if unclear on goals or next steps; Attend regular meetings with owner & FAs to discuss business issues, additional tasks, etc.; Work directly with Practice Manager to help with issues, for support, and guidance; Help team stay on track with their current projects and keep them moving by providing updates, next steps, etc.; Manage advisors' schedules and calendars “Close the service loop” by logging tasks, tracking through to completion, and confirming completion. 
  • Client Support: Nurture client relationships by interacting, building trust, warm & conversation; Make outbound calls to current and prospective clients to build relationships and provide support; Handle inbound communications (email, calls, mail, etc.) and solve or route to appropriate people; Return emails, voicemails, and calls to make sure all customers are cared for; Ensure all clients receive exceptional reception and service; Accept information from clients and prospects and file / address new information 
  • General Office Administration: Assist with ordering office supplies, coordinating vendors, etc.; Administrative work such as filing, organization, light office cleanup, etc.; Continuously look for ways to improve our systems and processes and make suggestions; Prepare client pre-appointment, post-appointment, and deliverables - reports, binders, worksheets, information, etc. 
  • Advisor Support: Work with advisors to assist with financial planning details and paperwork / computer entries; Accurate and thorough data entry and paperwork in multiple systems - CRM, client info, updates, etc.; Attend some advisor meetings to take notes and information. 
  • Marketing Support: Work collaboratively with others to assist with marketing initiatives and keep track of marketing calendar and results; Potentially create or find creative things to share with our audience 

ABOUT YOU - TRAITS AND SKILLS NECESSARY FOR SUCCESS:

  • You are friendly, reliable, detailed, and non-confrontational.

  • You are good at accepting personal responsibility and managing your time and priorities effectively
  • You have strong interpersonal and teamwork skills 

REQUIREMENTS:

  • Experience is more important than education. An associate degree is not required, but would be attractive
  • 3 years previous experience working in a professional environment required
  • 2 years previous experience working in financial services a plus
  • Securities and/or Life/Health Insurance license, not required but a plus
  • Must be tech savvy, willing to learn new software when needed, and competent with Microsoft office applications
  • Must have experience professionally handling confidential information.
  • Clear, legible handwriting. And strong written communication skills

SCHEDULE:

  • Typical business hours are 8:30 AM – 5PM and must be flexible occasionally, depending on clients' needs
  • Some evenings are required for education and/or client events (occasional, and with advance notice)
  • Working from our office in Longwood, FL 

COMPENSATION:

  • Compensation is based on salary and bonuses based on your accountability and results
  • $35-37K starting salary - depending on experience and performance
